Office Manager New York (Soho)
Are you our Office Manager?
Carbon Five is looking for an Office Manager for our New York office. We’re a down-to-earth bunch of software folks who work in a lovely studio space in Soho.
This office management role is a full-time position at an established company, where people take the work – but not themselves – seriously. Besides the stuff outlined below, we’re really big on common sense, good communication, proactiveness, and friendliness.
Operations & Admin Responsibilities
Culture is huge at Carbon Five and you’ll be the first person people meet when they come to our office. We need you to help keep the office beautiful and functioning smoothly by:
Coordinating major logistics events, such as office moves, etc.
Supporting our positive office culture by helping us organize activities to celebrate moments and good times
Meeting and greeting visitors with friendliness, hospitality and competence - offer them a drink, help connect them with the right people
Assisting with interview scheduling, on-site interview coordination, and new hire onboarding
Managing all facilities needs, including service vendors, organizing conference & project rooms, keeping the kitchen stocked and office tidy
Cross site collaboration and coordination with company-wide admin team
Ordering and tracking office supplies and coordinate shipping and receiving
Being attentive & self-directed – if you see something’s wrong, fix it
Other duties as assigned
Event Coordination Responsibilities
Carbon Five hosts lots of fun events at our space for the tech community at large. We need your help to:
Plan events – thoughtfully pick dates, manage registration, etc.
Prepare & support the office for events and meetings
Book caterers, entertainment, vendors, etc.
Stick around for event kick-off, execution, and closing
Photograph events and share with the marketing team
Other duties as assigned
1+ year of experience in an administrative or reception job, or other comparable role
Great communication & interpersonal skills
Be able to prioritize & manage multiple responsibilities independently
Attention to detail & customer service savviness
Collaborative, approachable personality who’s good at building relationships
Comfortable and competent using Macs, Google suite, Slack, Microsoft Office suite
Must be able to lift 50 pounds
